Facilities Maintenance Coordinator/Receptionist $18-$20 DOE
Location: Temecula CA
Schedule: Monday to Friday 8.30am to 5.30pm Temp to Hire
Position Overview:
Assist managers in maintaining our commercial properties by working with managers tenants vendors and staff to ensure completion of work in an efficient and professional manner.
Primary phone contact promoting a positive working relationship between property and facilities managers and vendors.
Job Duties

Answer phones Sort and distribute mail Create correspondence.

Determine tenant/vendor needs and assist them or direct inquiries to appropriate personnel.

Type work orders daily explain to tenants and vendors the cost responsibility

Schedule vendors confirm work is completed match work order with invoices submit for payment.

Make sure contracts are signed keep paper and electronic copies type up new contracts and prepare 30-day notices to cancel.

Process bid requests get vendor proposals type estimates prepare service requests.

Schedule vendors for repairs and update log.

Set up accounts and order and maintain all bins for our properties.

Handle security of and control of all project keys through check-out system.

Handle fire and computer alert alarms work with fire department to become familiar with boxes and keys.

Download digital photos and transfer them to the property folders online.

Assist property managers with clerical requests.

Assist and cross-train with other employees within department.

Report to and assist Operations Manager with any other related tasks as needed.
Skills/Qualifications
-
Two years of property management/facilities maintenance (or equivalent) administrative experience.

Proficient in Microsoft Office (Outlook Word and Excel).

Some knowledge of Yardi and Photoshop a plus.

Background Check Required.
